Handover Protocol

In the project lifecycle, there is a moment when "finished" turns into "handed over." The Handover Protocol is a key document that confirms the physical transfer of the work, or a part of it, to the customer. While an Acceptance Protocol addresses quality, the Handover Protocol addresses factual availability. It is the moment when the customer receives the keys (both literally and figuratively) and when the countdown for critical contractual deadlines for reviews and feedback begins.

Why is precise handover essential?

Without a clear confirmation of handover, a project can end up in a legal vacuum. The protocol fixes the timing and scope of delivery, which is essential for initiating the acceptance process. At Projectman, we always recommend specifying the subject of the handover in the protocol exactly as it relates to specific contract points, to avoid any doubts about what was (or was not) delivered.

What does the template include and how to use it?

1. Identification: Who, to Whom, and What. The basic framework that links the protocol to a specific project and the contracting parties. It clearly defines the Contractor and the Customer so that the document can serve as unquestionable supporting evidence for invoicing or an audit.

2. Subject of Handover: Detailed Inventory. This section defines exactly what is changing hands. It may include source code, documentation, physical devices, or a construction site. For more complex projects (e.g., in construction), it is best practice to list any known minor defects and outstanding tasks that do not prevent the handover itself but must be resolved in the next step.

3. Method and Form of Handover. Through which channel did the deliverable reach the customer? Was it uploaded to a secure storage, handed over on a physical medium, or personally accepted at the site of implementation? This information is crucial for confirming that the customer has full and functional access to the work.

4. Linking to Budget and Deadlines. For many projects, the Handover Protocol is accompanied by a final settlement or invoice. Most importantly, however, its signing usually triggers the contractual period for Acceptance Testing. This moves the project from the "delivery" phase to the "customer verification" phase.

5. Formal Confirmation (Sign-off Table). The Handover Protocol is signed by statutory representatives or individuals explicitly authorized to do so in the contract. This signature serves as confirmation that the Contractor has fulfilled their obligation to make the delivery accessible and that the Customer has accepted it in the given form.
