Meeting Minutes
Ideally, high-quality minutes should be created during the discussion itself or immediately thereafter and distributed to all relevant parties while the topic is still fresh in everyone’s memory.
How to work with this template effectively?
1. Agenda: Preparation is half the battle. Never send an invitation without an agenda. A list of topics distributed well in advance ensures that participants are prepared and the meeting is not a waste of time. The template guides you to stick to the structure and avoid drifting off-topic.
2. Discussion & Key Decisions: Forget the novels. The goal is not a stenographic transcript of every sentence, but the documentation of vital information and indisputable decisions. Write clearly and precisely – at Projectman, we follow the motto: "Don't record fluff; lock in milestones."
3. Task Tracking: Who, what, and by when? Every task must have an owner and a deadline. The template allows for dynamic management of the task list:
- Update the status at every subsequent meeting.
- Gray out completed tasks for better clarity.
- In the next round, remove them from the list so that only the essentials remain.
- Tip: If you use a specific task manager (Jira, Asana, Monday), the meeting minutes serve as the source for entering tasks into these tools.
4. Revision and Final Version: Distribute the minutes to all participants with a clear deadline for comments. Once everyone has provided feedback, save the final version of the reviewed minutes into the project documentation. This closes the process and ensures that the decision history is transparently traceable.
5. Signature Block (Optional): For formal projects or negotiations with external vendors, a printed copy with signatures may be required. This template accounts for this option, even though in the digital era, we prefer approval via email or a collaborative tool.
Meeting minutes are your insurance policy and your map. At Projectman, we believe that the culture of writing high-quality minutes separates average teams from top-tier ones. With this template, you will bring order and peace of mind to your meetings.
