Work Log (Timesheet)
A work log, also known as a timesheet, is a basic template for every contractor or freelancer. If you are not required to report your work in a client’s internal system, you can use our template, which may also serve as an attachment to your invoice.
Usage
A work log (timesheet) is useful if you do not report your work in an internal system. The template is suitable as an invoicing attachment for self-employed contractors and freelancers.
We recommend creating a new sheet for each reporting period (typically one month).
The template contains the following basic details:
- Supplier - optionally the name of an intermediary agency. If you work directly with the client, you do not need this field.
- Consultant - your identification details, usually your name and optionally your business ID number.
- Client - the name of the end client.
- Responsible Person - the person approving the work log.
- Project- optionally the identification of the project you are working on.
- Period- the reporting period, typically a calendar month.
- Individual Work Log Entries - Each entry contains the following information:
- Date - the date the activity was performed.
- Activity Description - a detailed description of the activity. Be precise and specific, and follow the client’s instructions. The client must clearly understand what work was performed, as the work log may be used for further processing.
- Number of Person-Days - the amount of reported work. You can naturally modify the template to use person-hours instead, depending on the unit you use. Values are rounded to two decimal places. The template automatically calculates totals.
- Poznámka - an optional note related to the entry.
- Additional Costs - The template also allows you to include additional costs agreed upon with the client, typically travel expenses. Each cost item includes:
- Date- the date the expense occurred.
- Expense Description - a detailed description of the expense. A copy of the related receipt or document may also be attached to the timesheet to prove the actual cost.
- Amount in CZK - the expense value. The template automatically calculates totals.
- Work Log Approval - We strongly recommend having the timesheet formally approved. The template is designed for printing and signing, although approval can naturally be handled in other ways as well.
- Approval Date - the date the work log was approved.
- Name - the name of the approver, automatically taken from the “Responsible Person” field.
- Signature - space for signing the work log.
