Why write Use Cases?
Clearly defined Use Cases eliminate guesswork. Developers know exactly what to build, while testers know precisely what to verify. To complete the picture, we recommend always attaching a Use Case Diagram to the textual description to visually represent the relationships between actors and functions.
In our template, you will find two variants. Each serves a different purpose and project phase:
2. Extended Template: Suitable for complex systems and corporate environments where change traceability and detailed specification are key:
- Versioning and Stages: Track the current development phase of the Use Case and identify who made the most recent changes.
- Frequency of Occurrence: It helps set priorities in development: features that users access 100 times a day take precedence over those used only once a year.
- Trigger: The specific moment that sets things in motion.
- Context and Open Topics: Space for analytical notes and ecosystem dependencies that need to be resolved.
Why link Use Cases with requirements?
In both templates, you will find the "Implemented Requirements" field. This is the holy grail of traceability. It allows you to prove at any moment that every functional button in the application originates from a specific business requirement of the customer.

Write Use Cases in the user's language, not the programmer's. Instead of "the system calls an API and writes to the database," write "the system saves the order details and confirms its receipt." This is the only way to ensure that the analyst, the customer, and the developer all envision the same outcome from the same text.
